How to do a stocktake on Shopify without Stocky
A stocktake compares the items you count with the quantities recorded in Shopify. Use it to find discrepancies before applying inventory corrections. Stocky previously provided this workflow for Shopify POS Pro merchants.
Following the end of Stocky inventory workflows on August 31, 2026, merchants need a reliable alternative. Here is a step-by-step guide to running a stocktake on Shopify without Stocky, and how to review discrepancies before updating inventory.

Clean up & organize
Scan Barcodes
Count items digitally

Update stock levels
Step 1: Prep your warehouse and inventory
A successful stocktake starts before you count a single item. To ensure accuracy:
- Organize your shelves: Group identical items together. Make sure hidden stock in backrooms is visible.
- Halt operations: Stop receiving new supplier deliveries and pause fulfillment of outbound orders during the count.
- Ensure all items have barcodes: Check that SKUs and barcodes are printed and readable.
Step 2: Decide on your counting method
Without Stocky, you have two primary options to record quantities:
- Manual CSV Sheets: Export a location-specific inventory CSV from Shopify, print it out, count manually with a pen, type the final counts back into the CSV, and import it back into Shopify.
- Dedicated Inventory Apps: Use a lightweight Shopify inventory app like Reorda to run digital stocktakes directly from a phone, tablet, or laptop.
Step 3: Perform the count
If using a manual spreadsheet, ensure count teams work in pairs, one counting, one recording.
If using a dedicated inventory tool:
- Open a new stocktake session inside the app.
- Connect a Bluetooth or USB barcode scanner (Reorda does not support camera scanning).
- Scan items one by one. The software automatically increments the count and flags discrepancies in real-time.
Step 4: Reconcile and adjust stock levels
Once counting is finished, compare the physical count against what Shopify *thinks* you have. Review any large discrepancies (shrinkage or double-counting) before submitting the adjustment. Once confirmed, update your Shopify inventory levels to reflect the true physical counts.

Frequently asked questions
How often should I perform a stocktake?
Most retail stores do a full physical inventory count annually or bi-annually, supplemented by weekly or monthly cycle counts for high-shrink or fast-moving items.
Do I need a barcode scanner for a Shopify stocktake?
While you can do it manually by checking off sheets, using a USB/Bluetooth barcode scanner directly connected to your device can reduce manual entry. Actual time and accuracy depend on hardware, labels and the counting process.
What happens to Shopify stock levels during a stocktake?
You should freeze sales and shipping operations during the count. If items are sold or received while counting is in progress, your ending stock adjustments will be inaccurate.
